Operations & Supply Chain Coordinator
We are looking for a proactive and well-organized Operations & Supply Chain Coordinator to join our team in Bratislava. This is a varied, hands-on role combining supply chain, logistics, order management and office operations. You will coordinate the flow of products from manufacturers and suppliers through warehouses and transport providers to distributors and customers across Slovakia and other markets. We are looking for someone who does more than process orders and documents — someone who takes ownership, follows things through, anticipates problems and finds practical solutions.
Key Responsibilities
- Coordinate customer and supplier orders and follow deliveries from MAHs/manufacturers through warehouses and distributors to customers.
- Organize domestic and international transportation, communicate with transport providers and obtain and compare quotations.
- Proactively track shipments and resolve delays, changes, damages and other delivery-related issues.
- Prepare, collect and verify required shipping, delivery and commercial documentation.
- Coordinate with warehouses regarding goods receipt, dispatch, stock, returns and deliveries.
- Monitor inventory levels, open orders, planned deliveries and product expiry dates and proactively highlight potential risks.
- Maintain accurate records and prepare regular reports on orders, deliveries, inventory and transportation costs.
- Coordinate operational requirements between suppliers, MAHs, customers, distributors, warehouses, transport providers and internal teams.
- Support the administration of invoices, purchase documentation, delivery records, databases and other operational documentation.
- Coordinate ordering, storage and distribution of promotional, marketing and office materials.
- Maintain and coordinate employee training records and training matrices, track completion of required training and ensure appropriate documentation and filing.
- Communicate with external vendors and service providers and coordinate day-to-day operational requirements.
- Support organization of meetings, internal activities and other operational needs when required.
- Identify opportunities to improve processes, reduce costs and increase operational efficiency.
- Support general office administration and act as back-up to the Office Manager when required.
- Provide ad-hoc operational and administrative support to management and the wider team based on business needs.
Qualifications & Requirements
- Minimum 2–3 years of relevant experience in supply chain, logistics, distribution, order management, customer service, operations or a similar coordination role.
- Experience in the pharmaceutical, healthcare or regulated environment is an advantage but not essential.
- Practical experience with orders, deliveries, transportation, vendors and related documentation.
- Strong organizational skills and ability to manage several activities and deadlines simultaneously.
- Good knowledge of Excel and MS Office and ability to maintain records and prepare reports.
- Fluent Slovak or Czech and good working knowledge of English for communication with international partners.
Core Competencies
- Strong organization and coordination
- Ownership and independence
- Proactive and solution-oriented approach
- Attention to detail and accuracy
- Problem-solving ability
- Effective communication and follow-up
- Ability to manage multiple priorities
- Cost-conscious and practical mindset
- Reliability and accountability
- Flexibility and willingness to support broader operational needs
What We Are Looking For
We are looking for someone who enjoys keeping things organized and making sure they actually happen. The right person will take end-to-end ownership of operational activities rather than simply completing individual administrative tasks.
At the same time, you should be comfortable switching between logistics and broader operational tasks — whether coordinating an international shipment, following up with a warehouse, maintaining training records, organizing promotional materials or supporting the office when needed.
This is a good fit for someone who is hands-on, reliable, proactive and comfortable working independently in a small, dynamic pharmaceutical company.
